WORK LIFE

Make This Sound More Collaborative, Direct, or Calm

You know what you are trying to say. Unfortunately, the email does not.

Overview

Sometimes the problem is not finding the right answer.
It is getting the answer out of your head and into words that sound the way you intended.
Maybe your message sounds harsher than you meant.
Maybe you are trying to be firm without starting a fight.
Maybe you have rewritten the same three sentences six times and somehow made them worse.
Give AI the messy version.
Tell it what you actually mean, who you are talking to, and how you want the message to land.
AI can help translate the thought without changing the point.

What to Tell AI

Give AI the real meaning behind the message.
Do not worry about making your rough version sound professional first.

Try Something Like

Tell AI who you are communicating with, what you need them to understand, and how you want the message to feel. Include anything you are worried may sound too harsh, too weak, too formal, or unclear.

Example Conversation

You:

I need to tell someone on my team that they keep missing the same step and it's creating extra work for everyone. I'm annoyed, but I don't want the email to sound like I'm attacking them.

AI:

Then I would keep the problem specific and leave your frustration out of the wording. Something like: “I wanted to flag one step in the process that has been missed a few times recently. When it is skipped, someone has to go back and correct the work later. Can you make sure this is included before the task is marked complete going forward?”

Helpful Variations

Make This Less Harsh

“Keep my point exactly the same, but tell me which parts sound more aggressive than I probably intend.”

Make This More Direct

“I keep softening this until the actual point disappears. Help me say it clearly without being rude.”

Match the Person

“This is going to my manager, not a coworker. Adjust the tone without turning it into corporate nonsense.”

Tell Me How It Lands

“Before you rewrite this, tell me how my current message might sound to the person receiving it.”

Next Steps

Once the message says what you mean, ask AI to:

  • Make it warmer or more direct
  • Remove unnecessary explanation
  • Keep your natural voice
  • Point out wording that could be misunderstood
  • Give you a shorter version
  • Adjust it for a manager, coworker, customer, or employee
  • Preserve one sentence exactly
  • Explain what changed and why
  • Read it from the recipient's point of view
